[The Company] was established in February of 2018 by [President]. He is the sole proprietor
of the company at its single location. [The Company] was previously located at [Location], San
Antonio, Texas. The company operated out of this location before being relocated in February
2019, to [Location], San Antonio, Texas. There are now 14 employees currently working for the
company, including myself. I have been employed for four months now as a Marketing Intern.
My job responsibilities include managing and creating social media posts, gathering sales leads
information, to create and send flyers to potential clients, and to generate and integrate new
marketing tactics.

association management, board meeting management, resident communication, financial
management, vendor management, community governance, and online payment services. Our
goal as a company is to remove the negative stigma surrounded by HOA’s and to provide
residents with a service they are proud to receive. Communities with a Home Owners
Association hire our company to help them manage their residents and their surroundings. Our
board meeting management provides residents with help setting dates, locations, times, and
needed material for board meetings for them to discuss their current needs and issues. Our
financial services include an accountant to review and overlook their budget in order for a
community to achieve the goals it has successfully. We also manage vendors contracts by
finding the best, but the most cost-efficient way to get the projects the community wants done.
Our community governance and residential communication services go hand in hand. We
govern how the community operates and looks, and what a resident is allowed to do with their
home depending on the rules of their community. If any of these rules are broken, we
communicate directly with the resident to resolve the issue. We also offer online services to ask
questions, find useful information, and to pay dues.

Internal Operation
Staff organization and management divisions include the President, Director of
Development, Community Managers, Human Resources, Accounting, Reception, and
Marketing. With being a smaller company, there is less of a departmental structure. A lot of
tasks are handled by multiple departments and people are often doing work outside of their job
description.

Customer Orientation
[The Company’s] customer base is made out of HOA board members and residents who are
highly involved within their community. A lot of these customers already have a negative view
on management companies through their past experiences. Our mission is to change how these
customers view and deal with their management companies. We do this by providing them with
services they have never received. These services include transparent communication, weekly
updates, and weekly visits to each property to ensure the rules of the community is being
upheld. Compared to our competitors, we are the only current management company that offers
a live receptionist and a direct connection with a manager that will facilitate same day solutions
to issues. We advertise to our potential customers by sending them letters regarding the service
we provide compared to their current association company and their services. We emphasize
the cost of the services they are currently paying for compared to the service they will receive
from Alamo Management Group for the same price. Our services for the same price as our
competitors are unmatched and have been very successful for growth. We also do a lot of our
advertising through social media and have done a few radio station advertisements as well.
Company Expansion Goals
[The Company] currently manages about 7,000 homes based on the amount of communities
we serve. Each community has a different amount of homes so we cannot base our expansions
based on the number of communities we increase by, but on the amount of homes that are in
each of those communities. We currently only manage communities within San Antonio, but are
seeking expansions in neighboring cities. By expanding to nearby cities, it will help us reach our
goal of a 15,000 door count. Our goal is to double the current size of our business of 7,000
homes by the end of 2020. All 7,000 homes we manage are located in San Antonio and were
obtained through just 2 years of operation. With expanding our territory to surrounding cities, I
believe our goal will be easily obtained. As we expand to cities other than San Antonio, we will
need to open more locations. Our plan is to have a local building in every territory we expand to.
This will create more expenses, but also more revenue. The additional business and buildings

Terminating Business
[The Company] has been open and operating for two years now. As it started, we took on as
much business as possible to grow and increase our workload and revenue. For example, we
primarily manage communities with homes, but we also took on several condominiums.
Condominiums have more tenants than residential communities.
Since the amount of tenants is so much higher, the amount of issues are much more as well.
We are serving a greater amount of people and all of them have their own problems. A majority
of our time and effort goes to dealing with the condominiums and its tenants. Our efforts go
toward solving their community issues and take time away from other customers. Although their
issues and concerns are still important to us, it takes up a majority of our time. This limits the
time we have for other consumers and may result in them not being helped.
Condominiums are also far less profitable than other communties. They are not required to
pay due to their HOA as much as homes because of the amount of things they receive within
their living community costs far less to manage. This means they have less money to spend on
improving and maintaining their community but with far more issues that we are supposed to
address. If I were the boss, I would terminate the business we have with our condominiums
whenever their contracts expire. They are far less profitable, and they take up a lot of or in office
company time. Other customers who pay more money for the services they receive can suffer
from the amount of time we put forth dealing with condominiums. Our goal is to expand, but as
we grow I think it’s important to give the best service to those paying for it. Eliminating
condominiums would improve the time and level of service we provide to everyone else.
Employee Behaviors
Another major thing I would change if I were the boss would be the behaviors that are
allowed at work. Currently, there is a lot of slacking off during the work day. Many employees
spend hours of their valuable time a day doing unproductive and non-work-related things. For
example, people are constantly leaving the office to go pay for their personal payments, go onJob Analysis Report 4
food runs, and run errands that should be completed outside of work hours. People are also on
their phones often, or gossiping with other coworkers, and often distracting others around them
from doing their own work. These things all are a loss of time in which work could have been
completed. Since time is lost, so is money. These workers are not being paid to run their
personal errands or talk with coworkers. In addition, employees are late to work every day. I
understand things happen every now and then that cause you to run a little bit late. But if it
happens every day, it becomes a habit. This is also a waste of company work time, and every
minute adds up.
If i were the boss I would restructure my policy of tardiness, time allowed on the phone, and
what you are and are not allowed to leave the office for. These are all a waste of time and
money. With this time they should be working on their own work, helping others, or preparing for
future tasks. I would allow one to be late once a month, which would total an amount of twelve
times, which is more than reasonable. I would limit the gossip and talking by issuing warning
when seen not doing their work. This would force everyone to stop congregating together and
distracting others from doing work. I would use the same method of issuing warning for phone
use to reduce the time people waste on their phones. I would allow three to five of these
warnings to occur, depending on the frequency and severity, and then I would terminate the
employee if they could not follow direction after multiple warnings.
Communication
The level of communication is very concerning inside the office at [the Company]. Many
times, you are given multiple tasks at once and expected to complete all those items. What is
not communicated is how to complete the tasks and by when. Frequently, so many tasks are
given at once that many things are not completed and forgotten about by both superiors and
subordinates. This can cause confusion between employees more often than not the tasks you
need to complete are going to be needed by another department. This slows our operation and
also can make tasks really rushed when needed to be completed quickly.
I would implement a change in the organization to give people a maximum of three tasks at
once so everything that needs to be done gets successfully completed. This will increase
productivity within the office and keep our customers happy when we quickly resolve their
issues. As simple as it sounds, a checklist for each employee for the day would help greatly.
This would keep everyone more organized and aware of what they will need to complete for theJob Analysis Report 5
day. This will also help employees with time management and allow them to notice they do not
have time to slack off
