First look at memos vs. letters, and then get right to looking at business documents by focusing on negative news letters. You may notice that there are more subjects on your course outline (tone and word choice and writing paragraphs), but given the amount of work you have to do on negative news letters, I will work these other topics of word choice and paragraphs into future classes.

First, I want you to know and understand the difference between memos and letters so that when you write your assignments you can appropriately choose the correct kind of document (memo or formal letter) to write.

Read over the attached document, Memorandums and Letters, which clearly explains the difference between the 2 forms.

Then, read the attached BLOCK FORM Letter document which is a sample of a business letter written in block format. This information will show you what the letters you write for this class should look like. It’s important to study the format of the block letter because if you do not correctly format your letters, they will not only look unprofessional, but you will lose marks!

The information I have given you in the attached documents is a summary, much of what you would receive in a live class lecture, of the material you will find in your textbook. For this reason, it’s important that you read the chapters in your textbook that explain the difference between letter and memo writing so that you know you clearly understand not only the difference between the two, but also look at the examples in your text of the block format for writing business letters.

In the Fifth edition of Communicating for Results, specific information about writing memos is discussed on pages 183 through 188. You will need to read these pages for homework.

Note: How you read the materials for this course is entirely up to you since the lessons are spaced one week apart. You may wish to read i and ii as indicated above with a break before you read the text, or you may wish to do all 3 actions at the same time. You know best how you learn, so that decision, unlike the classroom environment, is in your hands. What is important is that you do make sure you do the readings for this class. If you don’t read the information in the handouts AND the text, you will fall behind and fail to understand your assignments. Okay, next step for this week: Negative News Letters.

Negative News Letters.

This week, you will learn how to write the first of your assignments, a negative newsletter. Proceed with this part of the lesson after you have learned the format of a business letter as shown above.

I have prepared several documents to help you on your journey towards understanding the negative newsletter. I suggest you look at the information in this order:

Negative News Letters Explained. Open this attached document and read through the notes. Then proceed to step ii below.

Again, the information I have given you in the attached documents, Negative News Letters Explained and Negative News Lecture W2021 are summarized material, much of what you would receive in a live class lecture, of the material you will find in your textbook.

Finished steps i through iv? Your next task is to write a draft of a negative newsletter. To proceed, open the attached document titled Negative News Assignment, and read the case and instructions. Note that you will be writing an indirect negative news letter and it must be single spaced, in block format. In addition to the assignment, you will also see another critical document titled Negative News checklist. This checklist is what I use when I grade your letters. It is also what you can use to check your letters after you have written your draft.

I recommend you take the following steps towards writing your letter.

Read the case over, taking notes as you go. I suggest printing off the case and underlining any parts you think important. Remember that you MUST NOT USE THE WORDING FROM THE CASE IN YOUR FINAL LETTER AS THIS IS CONSIDERED PLAGIARISM. Be careful, then, when taking notes to put your notes for your letter into your own words.

Write an outline for your letter that clearly works with the outline of the negative news letter: Opening / buffer, reasons, bad news, closing. Your letter must contain all these parts in order to receive a passing grade. An outline will always help you write a stronger document, so do not skip this step.

Write a draft for your letter. Then stop and put it away for at least a day or two. Take it out and look at it critically. Look at the checklist and go through your letter thoroughly, making it as good as you can. At this point, your letter will still be considered a first draft. Do not think that you are finished yet as there’s still much more to be done. Remember that this is a writing course, so your grade is based in part on the quality of your writing. That means that the words you put on the page must convey a message in as clear and precise a manner as possible. Writing well requires rewriting.
