2.4 – An example of a record system is a chronological safety and health diary. There are various problems regarding this type of health and risk management record system. For example, if we quickly need to determine when the fire evacuation was held, one will have to go through the diary according to the appropriate date. It is recommended that different areas should maintain a safety file that has sections of each different type of safety and health record (Khan., Rathnayaka. and Ahmed, (2015), p.130). Health and safety managers should ensure the maintenance of the safety file. The files can be electronic if they can be quickly be retrieved. A copy is required and should be printed to serve as the central health and safety record. Details of the copy should include the following where applicable: ✔ A list of the list of names employees with key and safety responsibilities ✔ A copy of the Health and Safety policies ✔ Copies of guidelines and procedures given to employees. ✔ A register of risk assessments for the department ✔ Copies of risk assessments, ✔ General risk assessments, ✔ Fire risk assessments, ✔ Manual handling of operations, ✔ Lifting operations and equipment, A complete record of Accident Record Sheets. ✔ Various copies of the accident report sent to safety Services and a report of the inquiry made into the incident ✔ Emergency measures that were taken for example fire evacuation ✔ Findings and date of safety inspection of the area and a narrative of the incident ✔ Record of electrical appliance tests. ✔ Other equipment for maintenance service records.
